FEATURE member in different schools. As a board member, I would sometimes ask very basic questions: How many students are in a particular class? What is the attendance trend? How are the students performing? What is happening in boarding? How much has been collected in fees? What assets does the school have?
The frustrating part was that getting answers was often difficult. The information existed, but it was fragmented. The class teacher had some of it, the matron had boarding information, the finance department had fee information, the teacher responsible for a club had another set of information, and sometimes important communication with parents was happening in WhatsApp groups.
I remember thinking: we have entered an era where information should be available in seconds, so why should a school board or management wait days or even weeks to get a simple report? That became one of the fundamental ideas behind SIIMS.
I also realised that many systems were simply digitising existing processes. But if you take a bad manual process and put it on a computer, you have not necessarily solved the problem. I saw this very clearly with staff attendance.
One school director once told me that what he needed was a very strict HR department to police staff attendance and reporting. They had an attendance book kept at the HR desk every morning. On paper, it looked perfect. Almost everyone appeared to arrive within minutes of each other.
But when the school looked closely, they discovered what was happening. A staff member could arrive two hours late, wait for the previous person to sign, and then sign a minute later. So the register showed that everyone was punctual when the reality was completely different.
That experience was important to me. It demonstrated that the problem was not a lack of records; it was the reliability and integrity of the process used to create those records. That is where SIIMS began to move beyond being a conventional school management system.

biometrics and real-time analytics. How did the idea evolve?
The evolution was actually quite natural. I started with a simple question: Can we create a single source of truth for an education institution? Then I asked: Can that information be captured automatically? Can it be available in real time? Can we use it to identify patterns? And eventually, can AI help us make better decisions from those patterns?
That led to the integration of cloud computing, biometrics, facial recognition, analytics, APIs and AI. Attendance is a good example. Instead of depending entirely on a signing book, SIIMS can use biometric technologies to establish who actually attended and when.
But I wanted to take the idea further than simply tracking attendance. Consider remedial lessons. A teacher could be assigned a remedial class, sign that the lesson took place and potentially claim payment for it, while the actual lesson may not have happened or the teacher may not have attended.
The question becomes: How do we verify the activity rather than simply record a declaration that it happened? With SIIMS, attendance, class schedules, student participation and teacher activity can increasingly be connected. The objective is not to police teachers; it is to create reliable evidence of institutional activities and improve accountability.
The same thinking applies to students. A student should not simply be recorded as present at school in the morning and then disappear from the system. With the right infrastructure, we can track the student’ s authorised interactions across the institution – from the hostel, to class, to the dining area, to the field or other activities.
The technical challenge was bringing all these technologies together while keeping the system simple for users. The organisational challenge was change management. Whenever you introduce technology that creates greater visibility and accountability, there will naturally be questions and resistance. We learned that successful digital transformation requires training, demonstration, support and, most importantly, showing people how the system makes their work easier.
